About the Role

As BOXX’s Office Administrator, you are the linchpin ensuring the smooth and efficient operation of our office in Toronto. You’ll manage administrative tasks, provide vital support to various departments, and play a pivotal role in the overall success of our business. We rely on your proactive approach and excellent organizational skills to keep our senior leaders, our teams and operations running seamlessly. Reporting to the Head of Global Operations, you’ll make an impact from day one.

Requirements

Responsibilities

  • Administrative Support: Handle inquiries, manage schedules, prepare reports, and provide invaluable assistance to senior leaders, ensuring effective workflow and decision-making.  You’ll be a superstar when it comes to managing inboxes and diaries for our Leadership team, taking care of travel bookings and expenses management.
  • Operational Efficiency: Oversee office supplies, SWAG (branded merchandise supplies) equipment, and policies, creating a thriving work environment for all BOXXers and enhancing operational effectiveness.
  • People Assistance and Recruitment Support: Supporting the Team with all recruitment, you’ll maintain employee records and facilitate new hire onboarding, contributing to team growth and development and the culture here at BOXX.
  • Financial Oversight and Bookkeeping Support: Assist in basic bookkeeping tasks, maintaining accurate financial records, and collaborating with the finance team.
  • Lend a hand: You’re all about the team.  Offering support to the wider operations team, contributing to projects or initiatives as needed.

Skills & Qualifications

  • Proven Experience and Strong Organizational Skills: Demonstrated background in office administration, showcasing strong organizational and multitasking abilities.
  • Excellent Communication and Software Proficiency: Exceptional communication skills, proficiency in MS Office Suite, and adaptability to various office software (HubSpot an advantage).
  • Basic Accounting Knowledge and Educational Background: Familiarity with basic accounting principles, complemented by a high school diploma or equivalent; additional education or certifications in office administration are advantageous.
  • Fluency in English and French: Proficiency in both English and French is considered an asset for this role.
  • Attention to Detail: Strong attention to detail to ensure accuracy in policy issuance, data management, and compliance documentation.
